Refunds feel personal the first few times, which is exactly why you need to decide how you'll handle them before one lands. A written policy is not bureaucracy; it's the thing that lets you answer in two minutes instead of stewing for two days.

Write the policy you'd accept as a customer

  • A clear window — 14 or 30 days, stated in days not 'reasonable time'.
  • What condition items must be in.
  • Who pays return postage, said plainly.
  • How long the money takes to arrive.
  • One sentence on digital goods, which are different.

Then link it from the product page, the cart and the confirmation email. Most refund disputes are really disputes about expectations nobody wrote down.

Refund fast, ask questions after

For small amounts, the cheapest resolution is almost always yes. The time you'd spend arguing costs more than the item, and a customer refunded gracefully often returns while one refunded grudgingly tells other people about it.

Chargebacks are a different animal

A chargeback isn't a customer conversation, it's a bank process with deadlines and evidence requirements. Respond inside the window, attach everything, and keep the tone factual.

  1. Proof of delivery with a timestamp.
  2. The order record and IP or device details you legitimately hold.
  3. Your policy as displayed at time of purchase.
  4. The full support thread, unedited.
  5. A short, unemotional summary of what happened.

Prevention beats disputes

Most chargebacks come from three things: an unrecognisable name on the bank statement, slow delivery with no updates, and a product that didn't match its photos. Fix the descriptor, send the tracking email, use honest images. That's the majority of them gone.

Track the reasons, not the totals

Log a one-word reason for every refund. After thirty you'll see the pattern — sizing, a misleading photo, one courier, one product line. Refunds are the most honest customer research you will ever get, and it arrives already paid for.
