Using AI for invoicing and admin

Admin doesn't feel like work, so it never gets scheduled, so it happens on Sunday night. It's also the easiest part of a small business to speed up, because most of it is turning one structured thing into another structured thing.

Start with receipts and expenses

Photograph receipts as they happen and have the text extracted into a single spreadsheet: date, supplier, amount, category. This one habit removes the worst hour of every quarter and dramatically improves what you can claim, because nothing goes missing in a coat pocket.

Then chase payments

Write three chaser templates — polite, firmer, final — and let a draft be generated with the right invoice details filled in. The reason invoices go unpaid at small companies is rarely the customer; it's that nobody enjoys writing the second email.

Good candidates for automation

  • Turning a quote into an invoice with the same line items.
  • Categorising transactions before the accountant sees them.
  • Drafting purchase orders and delivery notes from an order.
  • Summarising the month: revenue, top products, outstanding invoices.
  • Rewriting your terms into plain English for customers.

Never hand these over

  1. Filing anything statutory — a person signs off tax and accounts.
  2. Final numbers on an invoice, unchecked.
  3. Anything involving bank details, which is where fraud lives.
  4. Legal wording that binds you.
  5. Decisions about people.

Mind the data you paste

Customer addresses, card fragments and staff details are somebody else's information. Strip identifying detail before pasting anything into a general tool, and keep financial documents in systems you'd be comfortable describing to the person they belong to.

Measure it in Sundays

Don't track minutes saved per task, track whether admin still eats your weekend. If it does, you automated the fun parts and left the slow ones. The right first target is always the task you have been putting off for three weeks.
