Tone is a tool, not a personality

How to use AI tone-shifting without sounding like a robot or losing your voice.

"Make it more friendly." "Make it more professional." "Make it punchier." Every AI writing tool ships with these buttons, and most people press them like a microwave. The output is usually fine. It's also usually forgettable.

The mistake is treating tone as a personality switch. It isn't. Tone is a tool. You pick it on purpose, for a specific reader, in a specific moment.

Tone is a function of three things

  • Who you're writing to (the reader's mood, not yours)
  • What you want them to do next (click, reply, feel reassured, laugh)
  • Where they're reading it (inbox, feed, landing page, support ticket)

Change any of those and the right tone changes. "Friendly" in a refund email is different from "friendly" on a homepage. Same word, different job.

A better prompt than "make it friendly"

"Rewrite this for a customer who is mildly frustrated, in their inbox, who needs to feel heard before they're given the next step. Warm, specific, no exclamation marks."

Notice the shape: reader, place, emotional state, action, constraints. That prompt produces a tone. "Friendly" produces a vibe.

Keep your voice; change your register

Voice is the constants, your humour, your cadences, the words you'd never use. Register is what shifts: how formal, how warm, how dense. Good writers keep their voice across a thousand emails and shift register a hundred times a day.

When you ask AI to rewrite, give it a paragraph of your real voice as the example, then describe the register you want for this specific message. You'll get something that sounds like you, dialled to the moment.

The two-line check

Before you send anything an AI helped with, read the first and last line out loud. If either one sounds like it could appear in anyone else's email, rewrite it. Those two lines are your voice's signature.

Tone is a tool. Pick it up for the job, put it down when you're done, keep your voice the whole time.
